Asbury launches new school-wide reservation system

Students at Asbury University are now able to use the new reservation system, Mazévo, to book rooms throughout campus.

From rooms in the Shaw Center to the Luce, students can now see events booked in various locations, as well as reserve spaces for their own events.

The Service Desk Manager for IT Services Andy Miller said the purpose of the new system is to better the campus for eveyone.

“We all benefit from increased communication related to our use of campus spaces and materials,” Miller said. “With this system, we’re better able to view and manage our resources and avoid conflicts.”

In previous years, Asbury has used a system called EMS to manage campus spaces. Miller said it never worked as intended, so they looked for a switch to a new, improved system.

“It was prone to bugs that wouldn’t be patched for long stretches of time, while new releases introduced more bugs while fixing past ones,” Miller said. “When we began searching for other options, Mazévo quickly emerged as a possibility. They’re a newer company with a compelling feature set for the price.”

Mazévo is easier for IT to manage, and it gives students better access to reserve spaces. The program can be accessed through their phone, tablet or computer, which means it can be done quickly and remotely.

“Any time you change systems, a lot of effort is involved,” Miller said. “This was a project that took a lot of time from not just the ITS team but also our friends in Conference Services, the Registrar’s Office, and the many staff around campus who manage and approve spaces.”

Asbury was able to go live with Mazévo in May and has done some training with university staff to assist the campus body.

Currently, students are able to use the system to reserve spaces of their own. And placing one is “easy.” They can log into places.asbury.edu with their Asbury email and password. 

From there, they can change the “request” tab to add a new event or even view all currently scheduled reservations.

To create an event, students must enter information about their plan and then the person in change of the space will approve or deny it within a few days.

“Requests made by students need to be 24 hours in advance for most spaces, and 72 hours in advance if it’s an event space (student center, Hughes, Shaw Auditorium, etc.),” Miller said. “If they need to make a request under those time frames, they can contact the staff assistant or other person in charge for ‘same day’ requests.”

Miller hopes Mazévo can be another way that campus moves forward together.
